Mindbody Alternative for Martial Arts Schools

Mindbody was built for spas and yoga studios, and it shows. If you run a dojo, a BJJ academy or an MMA gym, you have spent time working around software that has no concept of a belt, a fight team, or a family of four on one card.

This is for school owners who have already decided to leave and want to know what to look for — and what the move actually costs.

Why martial arts schools outgrow Mindbody

There is no rank. Belts, stripes and promotions are the spine of a martial arts school, and Mindbody has no native idea of them. Most owners end up running rank in a spreadsheet beside the software they are already paying for.

Family billing gets ugly. Three kids and a parent on one payment method, each with their own attendance and their own rank, is ordinary in martial arts and awkward almost everywhere else.

Open mat is not a class. Neither is a drop-in from a visiting cross-trainer, or a fight team session only eight people are allowed into. Studio software models one thing: a scheduled class with a roster.

The price climbs with add-ons. The number quoted at signup is rarely the number on the invoice twelve months later.

What to look for instead

Whatever you move to, these are the things a martial arts school notices missing on day one:

  • Rank and promotion tracking across more than one discipline, so a student can hold separate rank in BJJ and Muay Thai.
  • Family and household billing on a single payment method, with separate records underneath it.
  • Waivers that stick — signed once, stored, and visible at check-in.
  • Session types that are not all “class” — open mat, drop-in, private, fight team.
  • Door access tied to membership status, so a lapsed payment closes the door without anyone walking to a computer.
  • Month-to-month terms. If a platform needs a year up front, that tells you what their retention looks like.

What switching actually costs

Here is the part nobody mentions until you try to leave: getting your payment data out.

Mindbody has quoted school owners $500 simply to transfer their own payment tokens. That fee is the most common reason owners stay somewhere they have already decided to leave. It is not loyalty. It is an exit toll.

Ask any platform you are considering two questions before you look at a single feature:

  • Will you migrate my members and payment tokens, and what does that cost?
  • What happens to my data if I leave you?

The answer to the second one tells you more than any feature list will.

Where ManageMemberships fits

Full disclosure: I build one of these platforms, and I train BJJ, which is why this one exists at all.

We are a much smaller company than Mindbody, and for some schools that is the wrong trade. What you get instead is rank tracking across disciplines, family billing, waivers tied to check-in, open mat and fight team sessions as their own thing, and door access that locks out a lapsed member on its own — in one system, month to month, with the migration handled rather than quoted at you.

What you do not get is a large support organisation. You get a small one that answers fast. Several of the schools we work with switched for exactly that reason, and a couple of them will say so directly if you ask us for a reference.

Frequently asked questions

Can I move my members without making everyone re-enter a card?

Usually yes. Payment tokens can normally be transferred between processors, and we handle that as part of the migration rather than billing for it.

What happens to signed waivers?

They come across with the member record, so you are not asking a hundred people to sign again on their next visit.

Do you handle belts across more than one art?

Yes. A student can hold separate rank in BJJ and Muay Thai without you keeping a second spreadsheet.

Is there a contract?

Month to month. No annual commitment, and no cancellation fee.
