ManageMemberships 2.5: What's New for Gyms and Ranges

This is a big one. ManageMemberships 2.5 is built from what owners asked for on calls: certifications your members can actually hold onto, more ways to sell without a second transaction, the reports you kept exporting from somewhere else, and a set of tools for ranges that run a floor differently than a studio does. Here's what shipped and why it matters.

Certifications your members can actually hold

If you run concealed-carry classes, belt tests, or any course that ends in a qualification, your members now walk away with proof automatically.

Certificates, emailed as a PDF. When a member completes a class, they get an emailed certificate with the class, the completion date, the certificate number, and a "Qualification earned" line. No more issuing it quietly and hoping they find it.

A "My Certificates" page, on web and in the app. Members can pull up every certificate they've earned, any time, and download the PDF. When a renewal or an employer asks for proof, it's one tap away.

More ways to sell — without a second transaction

Every one of these rides inside the booking you're already taking. No separate checkout, no second swipe.

Add-ons at the class booking page. Sell eye and ear protection, range time, rentals — whatever the class needs — right alongside the booking. You set the name and price once; the member picks a quantity before they pay.

"Add another class for X% off." A member booking one class can add a second at a discount you set, in the same payment. Two bookings, one charge, each still cancellable and refundable on its own.

Gift cards can now be seen and spent inside ManageMemberships, so a balance someone was given actually gets used on classes, range time, and the store.

The reports owners kept asking for

A real Sales Tax report under Reports → Admin: tax collected, taxable vs. non-taxable sales, a breakdown by memberships, classes, events, and store, and a CSV of every taxed payment. Refunds are handled properly from somewhere else at tax time.

Revenue you can trust at a glance. The dashboard now shows how many of your active members actually pay, a Collected MRR widget, and a Payout card with your next payout and when to expect it.

Marketing and CRM that follows up for you

Email that reports back. Send CRM email as yourself from your own address, with rich text and tracking. Every open and click shows up on the member, in the CRM, and on campaigns — and campaign previews are there.

Follow-up tasks and a daily digest. Tick "create a follow-up task" when you log a prospect activity, and start each day with an email of what's due. Leads stop slipping because nobody remembered to circle back.

Squeeze pages that look right when shared — proper preview cards in Facebook, iMessage, and Slack — plus STOP-compliant promotional texts that only send 8am–8pm, and email campaigns that send as a steady drip and cutoff.

Run the gym from your phone

Your assistant, in your pocket. Janus now lives in the owner mobile app: status, chat, your inbox, and approval cards for anything that needs your say-so, with a push notification when a new message lands.

Training programs. A new coaching module: build 4-to-6-week programs, assign them to clients, and members log their workouts right in the portal. Turn it on from the new Marketplace when you want it.

Built for the range

Ranges don't run like a studio, and this release stops pretending they do. A live range officer's board for the firing line shows who's up, who's shooting, and which lanes are blocked, with a shooting queue that drops members straight into. The register can check people in without a sale — including contractor crews that have blocked the range for the day — and citizenship and safety-briefing flags now show right where staff decide whether to let someone on the line. You can set weekday and holiday lane booking lengths so busy days hold to shorter sessions without touching your weekday rules.

Billing that behaves

Charge an optional pause fee while a membership is paused, describe why and what it costs, and count paused revenue separately so your numbers stay honest. A sign-up fee is now one line on the first invoice instead of a surprise second charge, resuming keeps the member's original billing day, and the register can collect an overdue balance at the counter and reactivate the account.

Security and privacy, always

We keep investing in keeping your gym's data safe, and this release included another round of that work behind the scenes. Two things worth knowing: your members' data is anonymized before it ever reaches the AI — names and IDs stripped out — and you can now export all of your gym's data yourself, any time, from Settings → Privacy & Access.

Also in 2.5

  • Seats remaining shown on each class date
  • Advance booking limits enforced everywhere, plus a cap on how far out
  • Stripe Terminal — charge a card on your reader from the dashboard
  • Bundle members work at the register; lane preference carried from range board
  • Cancel a whole session and email everyone booked; printable, citizenship-aware class rosters
  • Upload signed PDFs in bulk instead of collecting signatures
  • Members can see their purchases and edit their own phone number
  • Birthday triggers and a first-name variable in automations

Most of what's in 2.5 started as something an owner asked for. If there's something your floor needs that the software still fights you on, tell me — that's how the next release gets written.
