Janus Is Now in Public Beta for Every Core Gym
Most of what you need from your gym software is a question, not a report. Did Dave's payment actually fail, or is the door wrong? How many people are on a level I'm about to retire? Who signed up in March and never came back? The answers are already in your account. Getting them out has meant knowing which page to open and which filter to set.
Janus is a chat box that knows your gym. It has been running quietly with a handful of gyms for months, and from today it is in public beta for every Core plan — Core, Growth, Premium, Enterprise and Unlimited — for owners and managers.
Two faces
The name is not decoration. Janus has two modes, and you choose which one you are in.
Help mode is on from the start. Janus answers how-to questions from our help pages: how to set up a membership level, why a door is not firing, where to change a billing date. In this mode it cannot see your members, your billing or your doors at all.
Your gym's data is something you opt into. With it on, Janus can look at your actual gym — members, subscriptions, payments, door history, class attendance, waivers, clock-ins, audit logs — and answer questions about it. That is a single gym-wide decision, made once, and you can switch it back off whenever you like.
What people actually ask it
With your gym's data turned on, these are real shapes of question it handles:
- Why can't Sarah get through the front door?
- Who is active but has no subscription attached?
- Show me everyone with an unsigned waiver.
- How did revenue compare to this month last year?
- Which membership levels are near-duplicates of each other?
- Who clocked in last Saturday, and for how long?
Behind those sit around two dozen read-only lookups — door diagnostics, billing health, payment and invoice history, check-in credits, class attendance, event registrations, audit trails. You never pick the tool. You ask the question.
It proposes. You decide.
This is the part we would most like you to notice, because it is the part we were most careful about. Janus never changes anything on its own.
When a question leads somewhere actionable — this member should be active, this invoice should be voided — Janus does not do it. It puts a request in an approval queue along with its reasoning, and waits. Nothing happens until a person approves it.
The nine things it can ask for, and how each is treated:
- Sensitive: refund, void invoice, cancel subscription, deactivate members.
- Sensitive, and never carried out automatically: change a membership level, merge membership levels. Even after approval, a person does these by hand.
- Routine: activate a member, award points, grant check-in credits.
Approvals have their own page, and they are in the mobile app too, so you can clear them from the floor rather than the office. Reject one and you can say why — the note goes back into the conversation.
Where your data goes
We would rather tell you this plainly than bury it in terms.
Janus is powered by DeepSeek, a third-party AI provider whose servers are outside the United States. In help mode, only your question is sent. With your gym's data turned on, the relevant records go too — member names, email addresses, membership and door history, whatever the question needs in order to be answered.
It only ever sees your gym. The consent screen says all of this before you agree, we record exactly which wording you agreed to and when, and you remain responsible for any notice or consent your own members are owed. That last point matters if you operate somewhere with its own rules about this, so check before you turn the second face on.
Some things never leave our servers: tool calls, the model's raw output, token counts, and anything belonging to another gym. Two people at the same gym do not see each other's conversations either — an owner and a manager each have their own.
Turning it on
- Sign in as an owner or manager and open Janus from the main menu. Help mode works immediately.
- To let it see your gym, tick the consent box on the Janus page. That is a gym-wide decision, so only make it if it is yours to make.
- Ask it something you would normally go hunting for. A door problem is a good first test.
- Check the Approvals page if it queues anything. Nothing there happens until you say so.
To switch the second face off again, untick the same box. Your conversations stay; Janus simply stops looking at your data.
It is a beta, and we mean it
Janus gets things wrong. It can misread a question, or answer confidently about the wrong member. That is exactly why it proposes rather than acts, and why the sensitive actions sit behind a person every single time. Treat its answers the way you would treat a capable new hire's: usually right, worth checking when the stakes are real.
Each gym has a monthly usage budget during the beta. If you reach it, Janus pauses until the next month and tells you so. Nothing breaks, and there is no charge for going over.
What we want most from this beta is the questions you ask that it cannot answer. Those are more useful to us than the ones it gets right, and they are what decides what we build next.
Janus is in public beta for owners and managers on Core, Growth, Premium, Enterprise and Unlimited plans, on the web and in the ManageMemberships mobile app.
