Why Most Gyms Get Access Control Wrong

Most gym owners think access control means buying a smart lock and calling it a day. But the real question isn't "how do I lock my door?" — it's "how does my door know who should be allowed in right now?"

The problem is, most access control systems don't talk to your billing system. A member's payment fails on Tuesday, but their fob, card, or app still opens the door until someone manually deactivates it. That's not access control — it's a lock with a guest list that's always out of date.

What you actually need is a system where billing status controls the door in real time. Payment fails → door stops opening. Payment reinstated → door works again. All without human intervention.

The other gap? Most gym management software doesn't do access control. And most access control hardware doesn't handle billing. So you end up with two systems that don't talk to each other.

The Three Types of Gym Access Control

Standalone Smart Locks (Kisi, Brivo, Openpath)

These are dedicated access control hardware and software solutions. They control the door. That's all they do. You still need separate gym management software for billing, scheduling, waivers, etc. To connect them, you need Zapier, a custom API integration, or manual sync.

Pricing is usually $50-150 per door per month, plus hardware costs ranging from $300-800 per door, and your gym software subscription on top.

Gym Software with Third-Party Lock Integration (PushPress + Kisi, Wodify + Kisi, GymDesk + smart locks)

In this setup, your gym software vendor partners with an access control vendor. This is better than fully standalone because there's some integration. But it's still two vendors, two bills, and two support channels. The integration is often shallow — "member created" triggers "access granted," but failed payment doesn't always trigger "access revoked" in real time. You're also dependent on both vendors maintaining the integration.

Integrated Access Control (ManageMemberships, GymMaster)

Access control is built into the membership platform. One vendor, one system. Billing status directly controls the door — no integration layer, no delay, no sync issues. One bill, one login, one support channel.

Kisi

Kisi is the most popular standalone gym access control. Pricing ranges from $39-99 per door per month, plus hardware costs of $300-600 per reader. It's cloud-based, with app or card access. It integrates with systems like PushPress, Mindbody, Wodify, and TeamUp via Zapier or native integration.

Pros: Clean hardware, reliable, good app, works with most gym software. Cons: Expensive per door, no billing integration, separate vendor/bill. Users report it works well until you need billing-aware access — then it's a manual process or a Zapier band-aid.

Best for gyms already on platforms like PushPress that just need a door solution and are willing to pay $50-100 per month per door on top of their existing software.

Brivo

Brivo is an enterprise-focused access control system used in commercial buildings, coworking spaces, and some large gym chains. Pricing is quote-based and not published, but you can expect $100+ per door per month. It's overkill for a single-location gym.

Best for multi-location chains with a dedicated facilities team.

Openpath (now Motorola/Avigilon)

Openpath, acquired by Motorola, offers enterprise-grade access control. It has excellent hardware and enterprise pricing, similar to Brivo, making it overkill for most independent gyms.

Best for large commercial facilities, not independent gym owners.

GymMaster

GymMaster is gym management software with native door access control. Pricing ranges from $89-249 per month and includes software plus access control. It uses proprietary hardware — GymMaster-specific readers that only work with their platform.

Pros: Tight billing-to-door integration, reliable. Cons: NZ-based support, proprietary hardware lock-in, no branded mobile app, UI feels dated. Users report it works well but you're locked into their ecosystem. Hardware doesn't transfer if you switch platforms.

Best for gyms that want integrated access control and don't mind being locked into one vendor's hardware forever.

GymDesk + Smart Lock

GymDesk offers a smart lock integration as a $100 per month add-on. It's not native — it's a bolt-on integration. GymDesk itself costs $75-200 per month, so all-in, you're looking at $175-300 per month.

Pros: Martial arts features (belt tracking), all features at every tier. Cons: Access control is an add-on, no branded app, limited marketing tools.

Best for martial arts gyms that need belt tracking and basic 24/7 access.

PushPress + Kisi

PushPress is a popular gym platform but doesn't have native door access. It requires Kisi at $50-80 per door per month as a separate vendor. PushPress Pro costs $159-229 per month + Kisi (another $50-80 per door) + a branded app ($97 per month), totaling $306-406 per month before adding CRM.

The Kisi integration syncs member status, but users report it isn't always real-time on payment failures. Best for gyms already on PushPress that need access as an afterthought.

ManageMemberships

Full disclosure: this is ours. Access control is built into the platform — not a bolt-on, not a third-party integration. The hardware sits on top of your existing maglock and power supply. You don't replace your door hardware; we add a controller.

The controller handles both Bluetooth and QR code access through the same unit. Critical feature: the hardware caches member data locally. What to Ask Before You Buy

  • Does the door lock when a payment fails — automatically, without someone toggling a switch?
  • What happens when the internet goes down? Can members still get in?
  • Am I buying proprietary hardware that only works with this vendor?
  • How many vendors am I managing? One system or two?
  • What's my real all-in monthly cost including hardware, software, and any per-door fees?
  • Can members use their phone, or do I need to buy and manage fobs/cards?

Bottom Line

If you're running a 24/7 gym, access control isn't optional — it's the whole point. The cheapest smart lock is worthless if it doesn't know who paid and who didn't. Standalone access control like Kisi or Brivo works but you're managing two systems and paying two bills.
