For a small gym with one door, the two come out close, and GymMaster's lower door fee is a fair point in its favor. The gap opens as you grow: more members move you up GymMaster's tiers, each extra door is another $300 reader, and a branded app adds $150 a month. If you plan to pass 400 members or run several doors, price both systems at the size you expect to be in a year.
Give notice the right way. GymMaster's Terms of Trade say either side can end the agreement with 30 days' written notice, so send it in writing once your cutover date is set, and keep GymMaster running until members are billing through ManageMemberships.
Your data comes out cleanly. GymMaster lets you export reports to CSV, offers a full data export on its cancellation page, and its terms say it will provide all the data it stores about your members on request. We use that export to bring over your members, membership types, billing dates and history, and map your memberships to ManageMemberships plans one to one.
Cards stay with your processor. GymMaster holds billing through the gym's own processor, so the card tokens live there, not in GymMaster. When that processor supports token transfer, we coordinate it directly and members never re-enter a card. When it doesn't, we build branded card-update forms and run an email and text campaign so members can update their card in a couple of taps.
Plan the door swap for cutover day. Our hub replaces the GymMaster Gatekeeper and works with the electric strike or mag lock already on your door: you move the lock wires from the Gatekeeper to our hub. Members switch from the GymMaster app to your branded app for the door on the same day billing moves.
Cutover is where double-billing happens, and we handle it by hand. Your old system stays live until you've checked that every member came across, and you pick the cutover date. Then we cancel each member's old billing individually, timed to land just before their next charge date, so nobody pays twice and nobody has a gap.
