How Migration to ManageMemberships Works

Switching software can feel risky. Based on the attached presentation, here’s a clear, step-by-step overview of how ManageMemberships handles migrations so you can move confidently and keep operations running smoothly.

What We Hear From Owners

Common concerns include whether data will transfer correctly, if members will be confused, and whether payments could be interrupted. These are valid worries—and the process is designed to address each one directly.

Good news: Every new ManageMemberships account includes free migration help. You won’t be doing this alone.

Migration Overview

The process is straightforward and broken into manageable steps: membership levels, agreements and waivers, customer information, payment integration, and finally deployment and training. Most migrations complete in 1–4 weeks overall, with timing largely dependent on payment providers.

Step 1: Membership Levels (~2 days)

We begin by moving your membership structure—pricing tiers, renewal periods, and any special rules or conditions. This gives a solid foundation before migrating member records.

Step 2: Agreements & Waivers (~2 days)

Your legal documents come next. Existing waivers and agreements are transferred, including signatures, so members don’t need to re‑sign unless you want them to. This preserves compliance and saves time.

Step 3: Customer Information

We import complete member data—names, contact details, notes, tags, attendance history, and any custom fields you need. Flexible options include CSV files, API connections, or direct exports from your previous system.

Step 4: Payment Information (~3 weeks on average)

This is the most sensitive step and is handled with care. ManageMemberships supports major processors like Stripe, Bluefin, and NMI. When token transfers are available, members do not need to take action. If token transfer isn’t supported, we use a simple, guided card re‑entry flow with clear instructions.

Payment timing varies by previous provider, which is why this step often determines the total migration timeline.

Step 5: Deployment & Training (~1 week)

Before launch, your team receives a full walkthrough, staff training sessions, and a Q&A to address any concerns. Go‑live happens when you feel fully comfortable with the system.

Complete Timeline: 1–4 Weeks

Most of the schedule is predictable once payment coordination is underway. Throughout the process, the migration team handles the heavy lifting so you can stay focused on serving members and running your business.
